FLSA STATUS: Non-exempt                              
Payroll Status: Full-Time

Position Summary: The Administrative Assistant for Counseling Service is responsible for assisting in maintaining the office as a pleasant space for clients and staff.  Support prospective client intake process for clinic.

Education and Qualifications:

  • Associate’s degree or equivalent.
  • 1 – 2 years of office/administrative experience.
  • Strong written and oral communications skills.
  • High attention to detail.
  • Proficient with Microsoft Windows and Office.
  • Able to multitask under pressure.
  • Strong organizational and record keeping skills.
  • Ability to work collaboratively in a team environment dedicated to great student service.
  • Greet clients and maintain a professional atmosphere in the lobby.
  • Ability to maintain confidentiality.

 

Essential Duties and Responsibilities

  • Answer phones, completes prospective client intake process, and greet clients in a professional way.
  • Prepares computer-generated reports as directed by Clinic Director.
  • Contact clients by phone and confirm their appointment with the physician.
  • Provide some maintenance of electronic health records system to support clinic operations.
  • Oversee work-study students who work the same shift.
  • Liaison with Facilities Maintenance while on duty.
  • Coordinates security issues with Butler Police when necessary.
  • Opens building at 8:00am Monday-Friday
  • Supports administrative projects as assigned by Clinic Director.
  • Other duties as assigned.
